Tender on Procurement of Hotel Services for Capacity Building Activities (AASW-RISE-001/25)

The Armenian Association of Social Workers NGO invites interested suppliers to participate in the tender for the procurement of hotel services for Capacity Building Activities organized to enhance the social service workforce in the regions of Aragatsotn, Shirak, Tavush, and Gegharkunik.
PURPOSE OF THE TENDER
The Armenian Association of Social Workers NGO is announcing a tender (Tender No. AASW-RISE-001/25) within the framework of the "RISE – Armenia: Rehabilitation, Social Inclusion, and Empowerment of the Displaced and Vulnerable Population" project for the selection of suppliers to provide hotel services for organizing capacity building activities (workshops, trainings) for the social service workforce in the regions of Aragatsotn, Shirak, Tavush, and Gegharkunik.
SCOPE OF WORK
The selected supplier must ensure the timely and appropriate provision of the following services to the Contracting Authority:
Task 1: Workshop for Social Service Top-Managers
Locations: Tsaghkadzor or Aghveran
Participants: Heads of regional bodies responsible for social protection and social services in Aragatsotn, Shirak, Tavush, and Gegharkunik
Objective: To identify the need for specialized and narrowly specialized social services in communities.
The supplier shall ensure at least the following:

Provision of a conference hall with a capacity of up to 50 people (cabaret-style seating)

Provision of 2 parallel rooms with a capacity of up to 25 people each (U-shape seating), in Aghveran or Tsaghkadzor
-
Provision of coffee breaks, lunch, and dinner (2 coffee breaks, 1 lunch, and 1 dinner per day)
-
Accommodation for participants (2 nights / 3 days)
The event will take place on May 29–30.
Task 2: Two days Training for Social Workers
Locations: Tsaghkadzor or Aghveran
Participants: Social workers from Unified Social Services (USS) Territorial Centers in the regions of Aragatsotn, Shirak, Tavush, and Gegharkunik
Objective: To develop participants’ skills in social counseling and networking.
The supplier shall ensure at least the following:

Provision of 2 parallel rooms with a capacity of up to 25 people each (U-shape seating)

Provision of coffee breaks, lunch, and dinner (4 coffee breaks, 2 lunches, and 1 dinner total)
-
Accommodation for participants (1 night / 2 days)
The event will take place on June 12–13.
Task 3: Two days Training for Social Workers
(Location: Tsaghkadzor or Aghveran)
Participants: Community-based and NGO social workers from Aragatsotn, Shirak, Tavush, and Gegharkunik
Objective: To develop participants’ skills in social counseling and networking.
The supplier shall ensure at least the following:

Provision of 2 parallel rooms with a capacity of up to 30 people each (U-shape seating)

Provision of coffee breaks, lunch, and dinner (4 coffee breaks, 2 lunches, and 1 dinner total)
-
Accommodation for participants (1 night / 2 days)
The event will take place on July 3–4.

Please note: Payment for the completed services may be made in advance (prepayment), if agreed with the Contracting Authority.
REQUIREMENTS FOR THE SUPPLIER
The supplier must have experience in organizing similar events.
All eligible companies, regardless of their place of registration, may participate in this tender. Companies that meet the above requirements are invited to submit their application and price proposal by May 25, 18:00 Yerevan time, via email to aaswprocurement@gmail.com.
The application must include the following documents:

Price Proposal – properly prepared, signed, and sealed by the company.Attention: The price proposal must clearly and thoroughly reflect all the requirements listed in the tender's technical specifications.
The offer should be itemized according to the required services, quantities, unit prices, and total amounts, including and excluding VAT. It must also specify the delivery timelines and any other relevant conditions that may affect the evaluation process.

Company Information – completed in accordance with the format of Annex 1, signed and sealed.
This document must include the company’s legal status, state registration details, tax identification number, banking information, and any other information that demonstrates the company’s relevant experience, capacity, and eligibility to provide the required services.

The EU-funded "RISE – Armenia: Rehabilitation, Social Inclusion, and Empowerment of the Displaced and Vulnerable Population" project aims to enhance Armenia’s social protection systems, with a particular focus on refugees from Nagorno-Karabakh. Led by World Vision Armenia in collaboration with the Armenian Association of Social Workers and People in Need NGO, the project aligns with the priorities of the Republic of Armenia’s Ministry of Labour and Social Affairs.
